How to Use the Auditor
Step-by-step guide ยท CSR Call Evaluator Suite
๐ŸŽ™๏ธ Open the Evaluator ๐ŸŽง Audio Analyzer
Overview

This guide takes one call all the way through the Auditor: load it, score it, fix any score you disagree with, and export the finished report. Every step below names the exact buttons you will see on screen. The flow is the same on both the CSR Call Evaluator (home page) and the Audio Analyzer โ€” differences are called out where they matter. Total time per call: about 3โ€“5 minutes plus analysis time.

โ˜…

Setup โ€” save your API key (one time, Evaluator only)

The Evaluator needs a free Groq API key to transcribe and score calls. You paste it once:

  1. Click โš™ API Key in the top-right corner of the page.
  2. In the ๐Ÿ”‘ Groq API Key window, paste your key (free at console.groq.com/keys โ€” keys look like gsk_โ€ฆ) and save.
  3. The header button changes to โš™ API Key โœ“ โ€” you're done. The key is saved only in this browser's local storage and is sent only to Groq, from your browser directly.
On the Audio Analyzer page there is no key button โ€” that page transcribes and scores through the suite's own server key, so it works with no setup at all.
1

Load the call โ€” audio or transcript

You can feed the Auditor either the recording or the text transcript โ€” it scores both the same way.

Option A โ€” upload the recording

  • Click or drag a file onto the Upload Call Recording box.
  • Evaluator: up to 20 MB โ€” MP3 recommended, WAV / M4A / MP4 also accepted.
  • Audio Analyzer: MP3 up to 10 MB โ€” larger files are automatically compressed in your browser before uploading.
  • A file chip appears with the name, size and duration; press Change to pick a different file. Step 2 opens automatically.

Option B โ€” paste the transcript

  • Click Paste the transcript instead under the upload box.
  • Paste the conversation with agent and customer turns, then continue to step 2 (the call date is pre-filled with today).
No recording handy? Transcript-only scoring is a first-class path โ€” the AI skips transcription and scores your text directly.
2

Fill in the Call Information

  • Required: Agent Name * and Call Date * โ€” the report and coaching notes are built around them.
  • Optional: Customer Name, Customer Phone #, Dealership Name, Call Disposition (e.g. Warm Transfer โ€“ Service โ€” the transfer item is scored from it), and the DealerFocus IO call link.

System & Scheduler Checklist (Evaluator only)

Four backstage steps can't be heard on a recording, so you verify them in your system before analyzing:

  • Service OP Code used correctly ยท item 10
  • Correct advisor or team assigned ยท item 11
  • Correct data entered โ€” first name, last name and phone number ยท item 12
  • Hot alert details added & advisor information inputted ยท item 15

Checked = verified correct (full points). Unchecked = not verified (0 points). The AI follows your checklist โ€” and because these items are yours, they never appear in the Dispute tab.

3

Run the analysis

  1. Press ๐ŸŽฏ Analyze Call & Generate Score.
  2. Watch the progress card: recordings are transcribed first, then scored against the QA form. Transcript-only calls go straight to scoring.
  3. The results view replaces the upload card when the report is ready.
First analysis of a session can take 30โ€“60 seconds (key check + transcription + scoring); long recordings a little more. If the key was rejected, the page tells you exactly what to fix โ€” reopen โš™ API Key and paste a valid key.
4

Read the report

  • Final Grade banner โ€” grade %, points scored, and the 85% passing threshold. Parameters marked N/A are removed from the available points, so they never drag the score down.
  • Status line โ€” โœ“ Passing โ€” meets the 85% standard, or Below passing โ€” coaching required.
  • โš  AUTO FAIL banner โ€” if a zero-tolerance behavior is observed, the grade is forced to 0% and the call is flagged for PIP enrollment review.
  • Parameter sections โ€” every item with its points, a status chip (Pass / Partial / Fail / N/A / Auto Fail), the AI's observation and a coaching tip.
  • โœ“ Strengths Observed ยท โ†’ Areas for Development ยท โš  Concerns โ€” the call summary.
  • ๐Ÿงญ Coaching Plan โ€” talking points and action items, plus ๐Ÿ“ Detailed Coaching Notes ready to paste into a session.
  • ๐Ÿ“œ View Full Call Transcript โ€” the transcript the AI scored, for your own verification.
The report is AI-generated. Always verify the flagged moments against the recording before making coaching or HR decisions.
5

Fix a score โ€” two ways

Disagree with the AI? You can correct any parameter manually or have the AI re-check it against the transcript. Both are recorded in the report.

โœŽ ManualClick the status chip

Click the status chip beside any parameter and pick the correct verdict (Pass / Partial / Fail / N/A). The report โ€” grade, points, status โ€” recomputes instantly. Use this when you verified something against the recording and just need the record corrected.

โš– AIDispute tab โ€” let the AI re-read the call

  1. Open the โš–๏ธ Dispute a Score tab next to ๐Ÿ“Š Report.
  2. Every failed, partial or auto-fail parameter is listed with the AI's observation. (Auditor-checklist items aren't listed โ€” you set those yourself.)
  3. For each item you disagree with, choose what you believe is correct โ€” e.g. Pass (full pts), Partial, Fail (0 pts) or N/A โ€” does not apply; zero-tolerance items offer Auto Fail โ€” it DID happen vs Not Observed โ€” it did NOT happen โ€” and add a short reason.
  4. Leave items you accept on โ€” not disputing โ€”, then press ๐Ÿ” Send disputes for AI re-check.

The AI re-reads the transcript for each claim and then either adjusts the score or upholds it, with a written justification shown under the affected rows. The grade recomputes automatically, and a banner above the report summarizes everything, e.g. โš– 2 AI dispute resolutions (1 changed ยท 1 upheld) โ€” AI scored 51%, final score 56%.

Manual โœŽ overrides and AI โš– dispute outcomes stack โ€” you can dispute first, then override whatever remains. โ†ฉ Reset to AI Scores (see step 6) reverts both kinds of edit in one click.
6

Export the report โ€” or start over

  • ๐Ÿ“‹ Copy Evaluation โ€” copies the evaluation as plain text, ready to paste into an email, ticket or coaching doc.
  • ๐Ÿ“ฅ Download Report (PDF) โ€” saves the report as a PDF exactly as displayed, with all your adjustments applied.
  • โ†ฉ Reset to AI Scores โ€” appears once you've edited scores; reverts every dispute and manual override back to the original AI verdicts (the analysis itself is kept).
  • ๐Ÿ”„ Analyze Another Call โ€” clears everything and returns to the upload step for the next call.
Troubleshooting & FAQ
"No API key savedโ€ฆ" when I press Analyze.
Click โš™ API Key in the header and paste a valid Groq key (free at console.groq.com/keys). The button turns into โš™ API Key โœ“ once saved. Each browser remembers the key separately, so a new computer needs it pasted once there too.
"File is X MB โ€” please use a file under 20 MB."
The recording exceeds the Evaluator's limit. Trim or re-export it smaller, use the Audio Analyzer (10 MB, auto-compressed), or skip audio entirely with Paste the transcript instead.
The Call Information card never appeared.
It opens after you either select an audio file or click Paste the transcript instead. If you clicked Change / closed the transcript box, step 2 hides again until you load a call.
Why isn't my checklist item in the Dispute tab?
Items 10, 11, 12 and 15 come from your System & Scheduler Checklist, not from the AI โ€” so there is nothing for the AI to re-check. To change them, edit the checkbox on the Call Details step and re-analyze, or click the item's status chip to override it manually.
The Dispute tab says "nothing to dispute on this call."
That means every parameter either passed or was not observed โ€” there are no failed/partial/auto-fail items to re-check.
The AI upheld a dispute I think is wrong.
The AI may decide the original verdict stands โ€” it explains why under the row. You still have the final word: click the parameter's status chip and set it manually; the โœŽ marker shows it was your override.
AUTO FAIL triggered, but the behavior never happened.
Open โš–๏ธ Dispute a Score, find the zero-tolerance item, choose Not Observed โ€” it did NOT happen and send it for the AI re-check. If the AI confirms, the 0% and the PIP flag are lifted and the normal grade returns.
I edited scores but the numbers look wrong now.
N/A items are removed from the available points, so the "out of" total shrinks when something is marked N/A โ€” that's intentional. Press โ†ฉ Reset to AI Scores any time you want a clean slate back to the original analysis.
